The top 3 reasons given were that:<\/span><\/p>\n<ul>\n<li><strong>forms are too long (74.3%)<\/strong><\/li>\n<li><strong>there are multiple forms asking for same info (68.6%)<\/strong><\/li>\n<li><strong>forms are too invasive (60%)<\/strong><\/li>\n<\/ul>\n<p><em>Read the full article <a href=\"https:\/\/lavaprotocols.com\/2019\/01\/30\/why-people-hate-filling-up-forms\/\" target=\"_blank\" rel=\"noopener noreferrer\">here<\/a>.<\/em><\/p>\n<p><span style=\"font-weight: 400;\">In the same survey, <\/span><b>94.3%<\/b><span style=\"font-weight: 400;\"> stated they have a <\/span><b>preference for online forms<\/b><span style=\"font-weight: 400;\"> over hard copy forms and <\/span><b>91.3% <\/b><span style=\"font-weight: 400;\">expressed their interest for Malaysia to go <\/span><b>paperless <\/b><span style=\"font-weight: 400;\">one fine day. <\/span><\/p>\n<p><strong>These are the top 5 forms people fill up regularly:<\/strong><\/p>\n<ul>\n<li style=\"font-weight: 400;\">membership forms<\/li>\n<li style=\"font-weight: 400;\">mobile app sign up forms<\/li>\n<li style=\"font-weight: 400;\">survey forms (which includes ours. lol.)<\/li>\n<li style=\"font-weight: 400;\">complaint forms<\/li>\n<li style=\"font-weight: 400;\">bank forms<\/li>\n<\/ul>\n<p><span style=\"font-weight: 400;\">To read the comments from some of our respondents, read <a href=\"https:\/\/lavaprotocols.com\/2019\/01\/30\/why-people-hate-filling-up-forms\/\" target=\"_blank\" rel=\"noopener noreferrer\">part 1<\/a> of this article. <\/span><span style=\"font-weight: 400;\">The question we posed in <a href=\"https:\/\/lavaprotocols.com\/2019\/01\/30\/why-people-hate-filling-up-forms\/\" target=\"_blank\" rel=\"noopener noreferrer\">part 1<\/a> of this article is why are companies still using paper forms. <\/span><span style=\"font-weight: 400;\">There are various reasons, some of which include the need to take fingerprints and photos of applicants, and the need to handle personal information with precaution. <\/span><span style=\"font-weight: 400;\">But as cloud consultants, we believe that there is always an answer to everything.<\/span><\/p>\n<p>\u00a0<\/p>\n<h2><strong><span style=\"color: #ff6600;\">What Can Malaysian Companies Do?<\/span><\/strong><\/h2>\n<h3><strong><span style=\"color: #ff6600;\">1. Have an online form with automation<\/span><\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Having an online form that has a function to auto-populate particular fields (name, phone number, address, etc.) would resolve the issue of having forms that are too long\/ asks for repetitive information. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">All users have to do is to key in a unique identifier (eg. IC\/ passport no) and the system will identify who you are. From there, it will pull up your data from the system\u2019s database and populate the other fields in the form.\u00a0<\/span><span style=\"font-weight: 400;\">In this scenario, there would need to be a login confirmation to protect the user from identity theft, which is quite straightforward to implement.\u00a0<\/span><\/p>\n<p><span style=\"font-weight: 400;\">While this is not an entirely new concept\/ feature, the survey responses are proof that there are companies out there (even the reputable ones) which have not nailed this bit down. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">For bank forms, we may still have to do fill up some paperwork in the beginning when we are new to a bank. However, the plus point is that once you already have a bank account, you can do just about anything online (for almost any bank) \u2013 apply for loans, open another savings account, etc.<\/span><\/p>\n<p>\u00a0<\/p>\n<h3><strong><span style=\"color: #ff6600;\">2. Have an online form with ref no\/ QR code<\/span><\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">For forms that require fingerprints and photos, the online form option can still be used. All applicants have to do is fill up a form online, print out a confirmation receipt that has an ID\/ reference number, and take it to the company to get their fingerprint scanned and photo taken. Numerous companies are already doing this. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">For applicants who don\u2019t have a printer, giving them the option to get a QR code would be ideal. Applicants can then scan the QR code at the particular company and print their confirmation form\/ receipt there.<\/span><\/p>\n<p><span style=\"font-weight: 400;\">In reference to the logistics company we cited in <\/span><span style=\"font-weight: 400;\"><a href=\"https:\/\/lavaprotocols.com\/2019\/01\/30\/why-people-hate-filling-up-forms\/\" target=\"_blank\" rel=\"noopener noreferrer\">part 1<\/a> of this article<\/span><span style=\"font-weight: 400;\">, having an online system would be good as they can have all of their customer data in one place, and users won\u2019t have to fill up long forms for future deliveries (as their details are already in the system).<\/span><\/p>\n<p>\u00a0<\/p>\n<h3><strong><span style=\"color: #ff6600;\">3. Get a content management system\/ customer portal<\/span><\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">A single customer portal can accommodate all the forms a company needs for its customers. If this was implemented, there would be no loss of data, automatic internal and external process tracking, and faster resolution with far less frustration for all parties!<\/span><\/p>\n<p><span style=\"font-weight: 400;\">A customer portal would also address the issue of ambiguity. <\/span><span style=\"font-weight: 400;\">To better explain this, have a look at the <\/span><a href=\"https:\/\/flysmart.my\/en\/make-a-complaint\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">FlySmart <\/span><\/a><span style=\"font-weight: 400;\">portal which was built by Lava Protocols. FlySmart is an initiative by the Malaysian Aviation Commission (MAVCOM) to protect the rights of air travellers. Aside from having in place a platform to lodge complaints, the portal also provides a host of resources in the form of FAQs, articles, and bite-sized info\/ tips. You can read the case study <\/span><a href=\"https:\/\/lavaprotocols.com\/mavcom-project-brief\/\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">here<\/span><\/a><span style=\"font-weight: 400;\">. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">Once users have submitted a complaint, they can track its status and similarly, the company (MAVCOM) will be able to track customer complaints that are in queue\/ in progress\/ resolved. <\/span><\/p>\n<p><span style=\"font-weight: 400;\">For companies that don\u2019t see the need to put out that much resources on their portal, adding a simple \u201cinfo\u201d button near the form fields is sufficient to remove ambiguity.<\/span><\/p>\n<h3><strong><span style=\"color: #ff6600;\">4. Read the fine print<\/span><\/strong><\/h3>\n<p><span style=\"font-weight: 400;\">Heard of the Malaysian Personal Data Protection Act (PDPA)? You can read about it <\/span><a href=\"https:\/\/www.hg.org\/legal-articles\/up-close-and-personal-the-malaysian-personal-data-protection-act-33273\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">here<\/span><\/a><span style=\"font-weight: 400;\"> or <\/span><a href=\"http:\/\/www.pdp.gov.my\/index.php\/en\/akta-709\/personal-data-protection-act-2010\" target=\"_blank\" rel=\"noopener noreferrer\"><span style=\"font-weight: 400;\">here<\/span><\/a><span style=\"font-weight: 400;\">. All forms, hard or soft copy, <\/span><i><span style=\"font-weight: 400;\">should<\/span><\/i><span style=\"font-weight: 400;\"> have a section detailing their privacy policy. If not, users should be able to find this information on the company\u2019s website. You know what they say.
